Privacy Policy

1. Introduction

This Privacy Policy explains how EasyERP and the ERPvia website handle your information. EasyERP is developed and maintained by Husam Abuhajjaj ("we", "us"). We take privacy seriously and designed EasyERP to work primarily offline, with your data stored on your device.

2. What We Do Not Collect

Through the EasyERP mobile app we:

  • Do not require user registration or accounts,
  • Do not collect your name, email, or contact details from inside the app,
  • Do not collect analytics, advertising IDs, or usage tracking via SDKs,
  • Do not show advertising within the app.

3. Data Stored Locally on Your Device

EasyERP stores your business data locally on your device, including (depending on how you use the App):

  • Customers and suppliers information,
  • Products, categories, and inventory levels,
  • Sales, purchases, returns, payments, expenses, and refunds,
  • Reports such as profit and loss, stock reports, top products, and other analytics,
  • Settings and configuration for the App.

This data is saved only to your device’s local storage or backups you create. We do not automatically send this local business data to our servers.

4. Backups

EasyERP allows you to create backup files (for example, SQLite or similar). These backups are stored only in locations you choose (such as your device’s storage, SD card, or your own cloud drive).

We do not receive, upload, or store your backup files on our servers. You are responsible for choosing a secure storage location for backups and for protecting access to them.

5. Data Sent to Our Servers (Query / Assistant Feature)

The App may include a "query" or assistant feature that lets you type a question or request, for example to generate a report or ask how to do something. When you use this feature:

  • The text of your query is sent to our API (for example, api.erpvia.com),
  • We analyse the text to detect the intent (such as which type of report you want),
  • We return a response that helps you navigate or understand your data.

We do not intentionally use this text to create user profiles or for advertising. Limited logs may be kept for debugging, security, or service improvement. Please avoid including sensitive personal information in free-text queries (such as passwords, ID numbers, or health information).

6. Website Data

When you visit our Website (for example, erpvia.com), we may collect standard web server logs such as IP address, browser type, and pages visited, for security and performance reasons. If you use the contact form, we will collect the information you submit (such as your name, email address, and message) so we can reply to you.

7. Legal Basis (for users in the EU/EEA/UK)

For users in the European Union, EEA, or UK, we process personal information where:

  • It is necessary to provide the App and respond to your requests (performance of a contract),
  • It is necessary for our legitimate interests (for example, improving stability and security of the App and Website),
  • We have your consent (for example, when you submit the contact form).

8. Data Retention

Data stored locally on your device is retained as long as you keep using the App, until you delete the data, uninstall the App, or remove backup files. Any server-side logs related to query requests or the Website are kept only as long as reasonably necessary for security, debugging, and service improvement.

9. Children’s Privacy

EasyERP is intended for use by adults and businesses. We do not knowingly collect personal information from children. If you believe that a child has provided us with personal information, please contact us so we can delete it.

10. Your Rights

Depending on your location, you may have rights such as:

  • The right to access information we hold about you,
  • The right to request correction or deletion of your information,
  • The right to object to certain processing,
  • The right to lodge a complaint with a data protection authority.

Because most of your data is stored locally on your device, you generally control it directly through the App (for example, by editing or deleting records, or uninstalling the App).

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page. Continued use of the App or Website after changes means you accept the updated Policy.
